WE STRICTLY FOLLOW THIS
POLICY
RENTAL POLICY AND AGREEMENT
This agreement constitutes a contract
between the Guest(s) and Southern Rental Services, LLC .
CHECK-IN TIME is after 4:00 P.M.EST CHECK-OUT TIME is 11:00 A.M. EST
Instructions for access to the cabin will
accompany the directions to the cabin. Southern Rental Services, LLC will use
all reasonable efforts to have the cabin ready for guest occupancy at check-in
time, but Southern Rental Services, LLC cannot guarantee the exact time of
occupancy.
EARLY CHECK-IN FEES or LATE CHECK OUT
FEES - Early check-in and/or late check-out is
available. There is a $25 per hour charge for approved early arrivals or late
check outs – note – 1pm EST is the earliest check-in time available. If you request an early check I nor a late
check out, please be prepared to pay a fee of $25 per hour as schedules will
have to be re-arranged to accommodate your special request.
RESERVATION REQUIREMENTS – A signed RESERVATION
AGREEMENT and a valid credit card is required to secure a reservation. The full rental fee is due 21 days
before the first rental day. Payment can be made by e-check, personal check,
money orders, cashiers check, MasterCard, Visa, Discover or cash. (If securing with a check, it must be received by Southern
Rental Services, LLC within 3 days after booking has been made or the
reservation must be cancelled.) Southern Rental Services, LLC will not accept
checks on reservations made less than 45 days prior to arrival.
Last-minute
bookings may be
available, but the full rent and the security deposit will be due at the time
of booking. The refund policies are the same as for regular bookings. “Last-minute bookings” are defined as any
booking 21 days or less prior the first rental day.
MINIMUM NIGHT STAY- Weekend Stays are a minimum of two nights, Thanksgiving and
Christmas are a minimum of four nights.
All other holidays are a 2 night minimum.
DAMAGE DEPOSIT- A $100.00 Damage Deposit will be secured on the credit card for
any damages incurred during the duration of the rental and/or additional
cleaning fees. The damage deposit will be removed from the card once the cabin
has been cleaned and inspected and there is no damage or additional cleaning
fees. We reserve the right to keep all or part of your damage deposit for any
damages to the property or failure to follow the Check Out Procedures and leave
the cabin in a neat and orderly condition. (See Check-Out Procedures) If it
isn’t broken or damaged prior to your arrival, but is after your departure,
Guest(s) will be held responsible for the repair or replacement. If you
choose to pay for the rental by check we still require a credit card number for
the damage deposit. A $100.00 damage deposit is required
to hold your reservation. It will be refunded in full after your stay if there
are no damages incurred during the duration of the
rental and/or additional cleaning fees or policy violation. Any damage
in excess of the damage deposit will be billed to the person booking the stay.
CANCELLATION or CHANGES: NO REFUND OF ANY MONIES SECURED IF CANCELLATION
IS LESS THAN 30 DAYS BEFORE THE FIRST DAY OF CHECK IN. ALL CANCELLATIONS OR
CHANGES WILL BE CHARGED A $50 PROCESSING FEE.
VOUCHER EXTENSION POLICY: At the
time of purchase of your voucher, there is an EXPIRATION DATE listed. If you do not use your voucher by the
Expiration Date, we offer a VOUCHER EXTENSION for $50 that will make your
voucher valid for an additional 6 months from the listed expiration date.
CONFIRMATION- Confirmation of the
reservation along with directions to the cabin will be mailed, faxed or emailed
to Guest(s) upon receipt of the reservation advanced payment and reservation
agreement form.
ADDITIONAL GUESTS – ‘Guests’ are any
person staying overnight, including children. Occupancy is limited to
REGISTERED GUESTS ONLY. . Occupancy by more then the number of people stated
in the rental agreement will result in the forfeiture of all rental fees,
security deposit and additional charges to the credit card provided. Absolutely no overnight visitors are
allowed without prior arrangement made in advance to Southern Rental Services,
LLC.
KEYS – All keys must be
returned to the designated location upon departure. Cabin is privately owned
and Guests are responsible for lost keys. The property must be re-keyed in the
event the key is lost, misplaced or not returned. Guests will be responsible
for the cost of this procedure.
SATELLITE TELEVISION – Cabin is privately
owned and may have different subscription packages for satellite. Southern
Rental Services does not guarantee any programs or events.
FIREPLACES - Cabin has fireplaces.
The outside fireplace is wood burning - an
easy start log or firewood is provided. Additional easy start logs or firewood
are the responsibility of the renter. Please be considerate when using the
fireplaces.
The inside fireplace is a Gas fireplace are
not operational during the early summer to early fall months. DO NOT burn wood inside the cabin, do not put any paper,
wood, or anything else in the inside fireplace. IF YOU PUT ANYTHING IN THE
INSIDE FIREPLACE YOU WILL BE CHARGED A $250 FEE, NO QUESTIONS ASKED.
BAR-B-EQUE GRILLS – This cabin is
equipped with gas grill. Please be sure to turn the tank off after each use.
Please clean up all grease and food spills. Leaving the grill covered with
grease will result in an extra $25 cleaning charge.
SMOKING - ABSOLUTELY NO
SMOKING INSIDE THE CABIN. Failure to observe this rule will result in the loss of
the security deposit. If the interior of the cabin smells like cigarette, pipe
or cigar smoke, we will assume you smoked inside the cabin and YOU WILL BE CHARGED A $250
FEE, NO QUESTIONS ASKED.
If
you choose to smoke, then please do so outside. If you smoke on the porches,
please close all cabin doors and windows. Please do not litter. If butts have
to be picked up will result in an extra $50 cleaning charge.
ALCOHOLIC BEVERAGE – By Georgia Law, no
drinking of alcoholic beverages by persons under the age of 21 is allowed.
PETS – PLEASE INQUIRE –
There is a $40 pet fee in cabins that are pet friendly and you bring a
pet. This fee is non-refundable. Pets must be current on all shots and flea
prevention with no current fleas at time of stay. YOU WILL BE CHARGED A $250 FEE, NO QUESTIONS ASKED, AFTER YOU CHECK
OUT IF WE EVEN THINK PETS HAVE BEEN IN THE CABIN AND YOU DID NOT PAY THE PET
FEE.
ATV’s – 4 Wheel Vehicles and
Off Road Vehicles are NOT ALLOWED.
CABIN FURNISHINGS & EQUIPMENT – All cabins are
privately owned with furnishings and equipment provided by the cabin owner.
Furnishings and equipment are subject to change without notice.
LINENS – All cabins have the
option to bring your own pillows, sheets and towels or we can supply you with
bed linens, towels, blankets and pillows. All linens that we supply are freshly
laundered prior to your arrival. DO NOT LAUNDER TOWELS WITH ANY THING, DO NOT
LAUNDER SHEETS WITH ANYTHING. Southern
Rental Services, LLC provides your initial supply of paper products, soaps,
detergents, trash bags, basic spices for
your convenience, not as a guarantee.
HOT TUB – Hot tub undergoes a
complete water change and is cleaned and chemically balanced prior to your
arrival. Maximum occupancy is 4 persons. Overuse or misuse of the hot tub may
result in a chemical imbalance and could create unhealthy water. Please observe
all rules posted.
Please do
not eat in the hot tub.
If the water should become cloudy or
develop an odor, please call the management company.
DO NOT PUT
ANY SOAPS, FRAGRANCES, BUBBLES, etc in the hot tub – you will be charged $65
for a filter replacement if you do if we even suspect you have!
REPAIRS /SERVICE CALLS – Southern Rental
Services, LLC cannot guarantee against mechanical failure of heating, air
conditioning, Hot Tubs, TV’s, Satellite receivers, DVD players or any other
appliances. Please report any equipment that is not operating properly.
Southern Rental Services, LLC will make every effort to resolve the problem as
quickly as possible. Should a repair person make a call to a cabin and find
equipment in working order and the problem was due to Guest(s) oversight or
neglect, the charge for the service call will be the Guest(s) responsibility.
Guest(s) understand and agree that Southern Rental Services LLC or its repair
people might need access to the cabin for the purpose of making the repair.
REFUNDS or rate adjustments are
not made for any inconvenience due to construction noise, road repairs,
equipment failure, early departures, delayed arrivals or reducing the number of
nights reserved with less than 30 days notice. No refunds or re-schedules due
to inclement weather, illness, family emergencies, nor any other reason.
HOUSE PARTIES ARE NOT ALLOWED – Guests shall not
disturb or offend any neighbors, discharge any firearms or use any fireworks of
any kind in accordance with the State of Georgia,
Fannin County Laws. No one under the age of 23 will be permitted to enter into
a rental agreement and must be part of the rental party. In order to preserve
the beauty and peaceful surroundings, we reserve the right to refuse service or
terminate rentals for drunken, loud, or unruly behavior.
CHECK-OUT PROCEDURES – Please leave clean dishes in the dishwasher. No
dirty dishes should be left in the sink, in the dishwasher or on the
countertops. Please bag all garbage and place in outside bins and replace the
lid properly so animals will not get in the trash bin. Please pick up all
outside litter, including cigarette butts, and place in garbage bags inside
bins. All garbage must be bagged. Please lock all doors and windows, set the
A/C to 78 or heat to 55 degrees. A Check Out Procedure Checklist should be sent
to you or supplied in the cabin. If you
do not get one, please ask for it.
CABIN RATES and TAXES–
All cabins are subject to a 7% sales tax and a 5% Fannin County.
CLEANING FEES: Cleaning Fees are not flexible and are
non-negotiable. Southern Rental Services
LLC does not receive any of the cleaning fee.
If you do not follow the Check Out Procedures, you will be
charged the fees associated with each item –
no questions asked.
CREDIT CARD – I, the Guest, am
providing my credit card number as a guarantee. I agree to pay all rent, accept
all terms and conditions of this rental agreement and accept all liability for
any damage, beyond normal wear and tear, during the term of my lease with
Southern Rental Services, LLC. If I fail to do so, I understand that these
costs will be charged to my credit card and all credit card sales are final. If
you do not have a credit card, please call us so we can make other
arrangements. WE DO NOT ACCEPT DEBIT CARDS nor American Express

Your reservation is not booked until we receive this
completed form with a full payment.
You have the
choice of 1, 2 or 3 payments if your first day of check in is more than 45 days
away. If you choose 2 or 3 payments, the
1st payment must be a minimum of 50% of the total due.
Outside quiet time is from 10 p.m. until sunrise.

have read and fully agree to all the above policies and to hold harmless from
any responsibility or liability, Southern Rental Services, LLC or cabin owners
for any loss, damage or personal injury incurred by any Guest on the rental
cabin premise.
